We are seeking a sharp, multi-talented Legal Office Coordinator / Office Administrator to serve as the operational backbone of our Portland office. Wearing multiple hats, you’ll split your time between front-office operations, client onboarding, paralegal support, marketing/promotion, practice management, and light bookkeeping.

The position will be based out of our Portland office, and the successful candidate will have access to a desk and laptop.

This role blends marketing, operations, and administrative support. Responsibilities may include:

  • Office Operations & Client Experience: Maintain a welcoming, professional atmosphere in our Portland office. While the majority of our client engagement is virtual, you will greet and settle occasional in-person clients, handle incoming calls/emails with warmth and promptness, manage firm mail, and keep office inventory and vendor relationships humming.
  • Practice Management & Intake: Manage calendar scheduling for attorney consultations and client meetings. Oversee new client onboarding workflows, ensuring engagement letters and client files are set up accurately in our practice management software.
  • Legal & Paralegal Support: Assist attorneys with document prep, trademark filings, corporate compliance records, and formatting business formation packages.
  • Marketing & Firm Promotion: Support firm promotional efforts, event coordination, and outreach projects to help share the NWCL brand with local entrepreneurs.
  • Billing & Financial Logistics: Support our team with monthly client invoicing, expense tracking, and basic trust account (IOLTA) compliance logging.
  • Process Optimization: Identify ways to make our day-to-day administrative and digital workflows faster, cleaner, and more efficient.

 

You won’t just observe, you’ll help build systems and projects that clients actually see.

  • Experience: 2 to 5+ years of office administration, office coordination, practice management, or legal assistant/paralegal experience (preferably within a boutique law firm, corporate setting, or professional services firm).
  • Tech-Savvy: Fast learner with cloud-based tools. Hands-on experience with modern legal tech (especially Clio), Google Workspace, AdobeSign, and DocuSign is a major plus.
  • Attention to Detail: Pride in flawless document formatting, pristine calendar management, and keeping digital client files organized.
  • Communication: Exceptional written and verbal communication skills with a client-first, approachable attitude.
  • Problem Solver: A proactive mindset—you don’t wait to be told what to fix; you jump in and handle operational tasks before they become headaches.
